What is "Preferred or Lottery Placement"?
Preferred or Lottery Placement is a methodology by which tee times are assigned, using facility defined criteria, such as golfer history, membership types, etc. Golfers make a request to play golf. The computer assigns available tee times. Play history is based on the actual rounds of golf played for each golfer in the group using a variable number of days ranging from 0-30. The system assigns one point for each round of golf played. The total number of rounds of golf for each golfer in the group is added together, and then is divided by the number of golfers in the group to arrive at a team average. Teams are then ranked from the lowest team average to the highest. For example:

What is "First Come/First Serve"?
First Come/First Serve is a more traditional method of handling tee times. Typically the golfer calls at a designated time (i.e. 7:00AM) for tee times 7 days in advance. If the time is available they are assigned that time. If the time is not available, the system will offer the golfer the closest available earlier and later times, from which the golfer can select the preferred time desired.

Can we have a combination of both systems?
Yes. Some clubs choose to run preferred placement (lottery) on weekends during heavy play demand and first come/first serve during the week when demand for tee times is less.

How do we stop duplicate requests or bookings?
The system will automatically reject a duplicate request or booking when it is made.

How do members find out what tee time they are assigned?
There are five ways in which members can find out what tee times they are assigned.

  • Call the telephone system 24 hours a day, 7 days a week and review all assigned tee times in one telephone call. The system will tell the member the day of the week, date, tee time, course, hole and position and if desired the other golfers in the group.
  • Email can be sent after placement or the day before play to everyone on the tee sheet with a valid email address.
  • Review tee times via the Internet.
  • Review tee times via touch screen terminals located throughout the property.
  • Review alphabetical listing by day of play on a local community cable channel.

How do we change course configurations?
The system maintains an unlimited number of master course configurations that are set up and maintained by the club. This gives the club the ability to change the tee time intervals or the format on a daily basis. The system supports straight, cross over (holes 1 and 10), shotgun or a combination of formats. Tee times can be blocked for tournaments, starter times, nine hole or group play.

How do we handle guest restrictions?
The system is designed to enforce your club's guest restrictions. Restrictions can be set up by day, time of day, course, membership type and by seasonal dates.

How do we handle different membership types?
The system can handle up to 99 membership types. Each membership type gets ranked within the preferred or lottery placement process from highest to lowest priority in conjunction with the team's average (see "What is Preferred or Lottery Placement"?). Membership types can be blocked from utilizing the preferred or lottery placement system and be given access to tee times afterwards. In a first come/first serve scenario, golfers are given access to the tee sheet at different times, based on their membership type.

What if a member does not get their requested time?
The system will issue a credit for each hour the desired time is missed. This will reduce the number of points a member carries during future placement processes.

Can members sign up for tournaments?
The system has the ability to accept tournament requests via a touch-tone telephone, touch screen terminal or the Internet. Tournament requests can be restricted by genders or by golf associations. Tournament requests can be exported to several tournament management systems for flighting and pairing.

Can members delete an assigned time?
Members can cancel assigned times via the phone and touch screen system with the proper confirmation number.

What does Tee Time run on?
Tee Time is a true 32 bit Windows application, Windows 2000 Professional or XP Professional are required for all workstations. Tee Time is a multi-user application that can run on a Windows Peer to Peer, Windows 2000 or Novel network.

What is the annual maintenance fee?
The maintenance fee for the first year, including the phone, Internet and touch screen systems, is included with the purchase of the system. Maintenance support is designed to handle questions, support the system and includes updates.

How many phone lines do I need?
We recommend four lines per 18 holes. Additional telephone lines can be added as needed, up to a maximum of 250 telephone lines per system. Each telephone call takes approximately 60 seconds to complete.

How else can we use the email functions?
The club can email to all golfers in the system information concerning upcoming events, available tee times or specials at the clubs. Email can be targeted to specific groups such as men, ladies, seniors, in-state golfers or out-of-state golfers.
